How PMU World Grew to 1,237 Attendees in Year Two by Making the Room Smaller

Summary

For year two of PMU World, Danny Tran wanted an elegant sponsor hall and a room where sponsors got real value. We halved the room, cut to one stage, opened a sponsor hall and a new expo floor sold in smaller packages, and turned the ballrooms into compliant stations for live tattoo workshops. When a tropical storm delayed shipments, backup vendors lined up a week earlier kept everything on schedule, down to badges reprinted at a local print shop. Attendance grew to 1,237 over three days in August 2024.

The Problem

Year one proved PMU World could fill a room. Year two had to make that room work harder. Danny Tran wanted an elegant sponsor hall and an event where sponsors got real value, without losing what attendees loved.

The rules changed too. New Florida requirements meant an ASL interpreter request and registration rules for the live tattoo workshops, on top of a bigger crowd.

What We Did

Here is how we built it, from the first plan to the last guest out. One team held all of it.

  1. 1Halved the size of the room and went from two stages to one, with one major sponsor hall beside it.
  2. 2Sold smaller sponsorship packages, so more brands could buy in, and used that room to open a new expo floor.
  3. 3Covered the ballroom floors end to end in visqueen plastic, turning them into temporary, near medical grade stations for the live tattoo workshops.
  4. 4Started sourcing backup local vendors a week out, the moment a tropical storm appeared on the forecast, and made the virtual options far more deliberate for attendees the storm might keep at home.

Challenges Overcome

What stood in the way, and how it was handled.

An ASL interpreter request would have broken the budget. Instead we turned on a real time caption service on the event livestream, which the attendee could follow from the crowd. It met the accommodation and cost Danny nothing.

A tropical storm came out of nowhere. Because backup vendors were already lined up a week out, delayed shipments did not stop the event, and attendees held back by the storm still had a deliberate way to take part virtually. When the badges did not arrive, a local vinyl print shop printed them on a different cardstock, on time and still with the luxury feel.

How It Went

PMU World grew to 1,237 attendees in its second year, up from more than 800 in 2023. Attendees enjoyed the new expo floor more than the old format, sponsors got better value from a single, focused hall, and the event felt more dynamic for everyone in it.

Right For

Female beauty entrepreneurs and salon owners in an underserved niche, and the founders who serve a niche like that, along with any conference or expo that wants its sponsors and its attendees to both come out ahead.

Steal This

Sell year two with year one. A soft launch in December used a teaser cut from the 2023 footage, so the event sold on proof instead of promises.

Sell next year in the room. Pre-sale tickets for 2025 went on sale at the 2024 event itself, while attendees were at their most convinced.
